Hold to speak…
User View, Amélie

A package arrives, the recipient is notified, and the pickup is tracked. Your employees no longer have to run around looking for their packages.

Everything is within earshot!

  1. 01 Step 1

The package arrives, and Amélie is notified immediately.

The receptionist scans the package and identifies Amélie in two seconds. A mobile push notification and an email are sent immediately. No packages are left on the shelf without an owner.

  2. 02 Step 2

A unique pickup code in hand.

Amélie opens the notification and sees her 4-digit code. It’s a one-time code linked to her identity that can be scanned at the counter. No more “I think this is for Amélie”—the front desk is sure to hand it over to the right person.

  3. 03 Step 3

While working remotely, Amélie delegates the task to a coworker.

Amélie asks NOVA to forward her package to Karim, who is stopping by the front desk today. NOVA sends Karim a temporary code, tracked by the audit department, valid for 24 hours. The package follows the recipient, not the other way around.

  4. 04 Step 4

An automatic reminder in case Amélie forgets.

If the package isn't picked up by Day 3, NOVA sends a reminder. On Day 7, a second alert is sent. Packages are no longer piling up at the front desk, and staff members are no longer running after recipients.

  5. 05 Step 5

    Scanned pickup, traceability by NOVA.

At the counter, the code is scanned, and the package is handed over. NOVA confirms delivery to Amélie and closes the ticket. A complete, time-stamped audit trail shows who dropped off the package, who notified, who picked it up, and at what time.

MAIL FAQ

Your Questions About Mail and Packages

If I'm working from home, how can I pick up my package?
With NOVA, you can delegate a pickup to a colleague with a single tap. You’ll receive a temporary code to share; your colleague presents it at the front desk. The delegation is logged in the audit trail, and you’ll receive a delivery notification as soon as it’s completed. You can also simply wait until your next visit to the office; the D+3 reminder keeps the information up to date at the front desk.
What happens to a package that is never picked up?
If no action is taken by Day 3, NOVA sends a follow-up push notification and email. On Day 7, a second alert is sent. Once the deadline set by the manager has passed (typically Day 14), the package is moved to a “pending resolution” queue on the console. The manager decides whether to return it to the sender, place it in temporary storage, or contact the recipient directly. All pending packages are visible at a glance on the dashboard.
How do you handle fragile, registered, or signature-required packages?
The receptionist scans the package and tags its type (fragile, registered, signature required). NOVA customizes the notification; for registered mail, the recipient is asked to pick up the package in person rather than have someone else do so. For packages requiring a signature upon delivery, the agent requests identification at pickup, and the scan is logged in the audit trail. You maintain postal compliance, and the recipient enjoys a seamless experience.
